
PROCEDURES
ATTENDANCE
Please notify the Unit Leaders in advance if your camper is going to be absent, arriving late or needs to leave camp early.

If your child needs to be picked up early, please park and come to Headquarters (HQ) to sign out your child. This is required.

MEDICATIONS
Any and all medication has to be in the original container and given to the Nurse by the parent the first night of camp. The Medication Form needs to be completed and submitted with medication. The Nurse will provide a copy to the Unit Leaders.

CARPOOL DRIVERS
Carpool drivers are required to have a YELLOW CAR TAG on their dashboard for each camper they are picking up each night. Yellow car tags were distributed at Parent-Camper night or when shirts were picked up. If you need additional copies, please email eaglesnestcampallen@gmail.com and we will have it ready for you at HQ.

DROP OFF AND PICK UP
Enter parking lot from Whitman Drive (southeast side of Ford Middle School). Take your first right before the Auxiliary Gym and proceed counterclockwise around the gym. SEE THE MAP BELOW. Cars form a single line and stop at designated area on the south side of the Gym. Campers need to exit cars and enter cars from the passenger side. PARENTS MUST NOT LEAVE THEIR CAR or BLOCK THE EXIT PATH. Loading or unloading will continue as quickly as possible. Campers are not permitted on site prior to 6:00pm or after 10:15 pm.

DROP OFF PROCEDURES
Please be courteous and patient in the carpool line. The line is run by Older Girls under Adult supervision. EXPECT DELAYS THE FIRST NIGHT OF CAMP. Thank you!
When the first car stops in position, an OG (Older Girl) will greet the camper(s) and open the passenger-side car door for the camper(s) to exit. Unloaded cars can proceed straight and exit. ​The camper will proceed down the hill to their unit bucket located near the Flag Pole and wait with their unit leader for our opening ceremony.

PICK UP PROCEDURES (10:00-10:15 pm Monday-Friday)
When the first car stops in position, a Staff person will look for your yellow car tag. (If you don’t have one, you will be asked to pull aside.) Do NOT get out of your car. You will proceed around the building to the pick-up site. The OGs will open the passenger-side car door to help your campers in the car. Loaded cars can proceed straight ahead and exit.
Carpooling is encouraged – this will dramatically reduce the waiting line for picking up campers. Don't forget that yellow car tag!
Walk-up pick-up can be done in lieu of carpool pick up, but you must park in the parking lot across Whitman by the ball fields. Bring your yellow car tag to the adult at the walk-up table. Please wait for your camper to be brought to you by an OG or Staff member. Do not go to your camper’s unit to get them as this will confuse and slow down the pick-up process.

LATECOMERS / VISITORS TO CAMP
If a camper arrives after 6:15 and no Staff person is at the drop-off point to greet camper, the parent must park in the swimming pool parking area and walk their camper down to Headquarters (HQ) for check in.
If a parent must pick up a camper early from camp, the parent must check their camper out through Headquarters, not through the unit leader.
If you are planning on visiting the Camp, you must check in at Headquarters and get a Visitors Pass to wear during your visit.
We greatly appreciate your being familiar with the traffic directions, cooperating, and being patient with the traffic directors. Campers may NOT be dropped off or picked up away from the pick-up/drop off area. THIS IS FOR YOUR CAMPER’S SAFETY!

RAINY DAY PROCEDURES
Camp will be held RAIN OR SHINE! If raining at beginning of camp, drop off at the double doors of the auxiliary gym. (See map above) There will be OGs there to assist your camper out of the car. If rain begins during camp and is not heavy or threatening, we will still hold camp outdoors. If heavy or threatening rain occurs, we will move camp indoors to the Auxiliary Gym. Camp will end at the normal time with pick-up procedures as stated in the above paragraph. Parents will not be notified of rainy day indoor camp. NOTIFICATION WILL BE MADE ONLY FOR CAMP EVACUATION. Notifications will be sent via Remind.com. If continual rain occurs on Friday evening, camp will be held indoors until 10:00 p.m.

CAMP PROCEDURE TO EVACUATE TO EMERGENCY LOCATION
When Headquarters decides to evacuate camp and move to the onsite building for safety, (Ford Auxiliary and Main Gyms), the Unit Leaders will be notified by a Staff person or the Camp Director and the staff person will blow three long blasts on the bullhorn or car horn. A Remind text will be sent to all Parents. It is strongly advised that Parents not pick up their campers until such time as weather conditions warrant leaving the gymnasium. No campers will be released to parents until all campers are inside the gym and attendance has been taken.
